Customer Accounts in Retill: Profiles, Purchases, Deposits, and Statements

Repeat customers drive retail profit. But repeat business only scales when you remember what they bought, what they owe, and when they last paid. Retill customer accounts centralize that information — from first purchase to latest deposit.

Creating and managing customer profiles

Under Customers, click Create Customer and capture:

  • Name and contact details (phone, email)
  • Address and occupation
  • Emergency or next-of-kin contact (optional)
  • Gender and status fields for segmentation

Profiles are searchable and exportable. The customer list also surfaces accounts with outstanding balances so you prioritize follow-ups.

Opening a customer record reveals several tabs:

Overview

Analytics including credit rate, payment method mix, purchase trends by period, and account summary. Use this before extending additional credit.

Purchased

Full sales history — products bought, amounts, credit portions, and return flags. Answer "what did this customer buy last month?" in seconds.

Payments

Deposit and payment history with receipt generation. Every partial payment is documented with date and method.

Recording deposits

When a customer pays toward their balance:

  1. Open their profile under Customer Details.
  2. Launch the deposit modal.
  3. Enter amount, payment method, and any notes.
  4. Confirm — balance updates immediately.

Generate payment receipts for the customer's records and yours.

Customer accounts at POS

Attach a customer during checkout to link the sale to their profile. Walk-in cash sales can skip this step. Credit sales should always attach a profile so balances stay accurate.

Exporting customer data and statements

Export the full customer list for marketing or backup. Generate filtered customer statements under Reports for formal account reconciliation — especially valuable for wholesale and distribution clients who pay on terms.
