Retill POS Guide: Checkout, Discounts, Tax, and Receipts

Your point-of-sale is where revenue meets operations. Retill POS is designed for speed at the counter — whether you serve walk-in customers, attach a buyer to a credit account, or apply a promotional discount. Here is how to use it effectively.

Opening POS and selecting your shop

From the dashboard, click POS. Select the shop where the sale is happening. Admins and managers can switch between branches; cashiers typically work in their assigned shop only. Retill supports multiple concurrent sale tabs — useful when you serve more than one customer during busy periods.

Adding products to the cart

  • Search — Type the product name to find items quickly.
  • Barcode — On mobile, scan barcodes with your camera for faster checkout.
  • Quantity — Adjust line quantities before checkout.

Every item added shows live price and stock impact. When you complete the sale, inventory deducts automatically — no manual stock adjustment needed.

Checkout: payment methods and amounts

At checkout you can configure:

  • Customer — Optional for walk-ins; required for credit sales and account tracking.
  • Payment method — Cash, Mobile Money (MoMo), or Card — matching how Ghana customers pay.
  • Amount received — Enter what the customer paid; change is calculated automatically.
  • Discount — Apply a percentage or fixed discount on the order.
  • Tax profile — Apply configured tax rules from Settings for compliant totals.
  • Note — Add internal notes for special orders or adjustments.

Credit sales at the counter

When a customer buys on credit, attach their profile at checkout. The sale records against their account and their balance reflects what they owe. Retill tracks daily arrears and credit sales on your Overview dashboard so you always know outstanding amounts across your business.

Receipts and finding past sales

Every completed sale gets a unique sales ID and receipt. To look up a past transaction:

  1. Go to Shops and select the branch.
  2. Open the Sales tab.
  3. Search by sales ID or browse the list.

This is essential for returns, customer disputes, and end-of-day reconciliation.

POS on mobile vs web

Use Retill on the shop floor via the mobile app for barcode scanning and portable checkout. The web dashboard suits back-office management and larger screens. Both share the same account — sales and stock sync across devices in real time.

Best practices for faster checkout

  • Keep your product catalog clean with consistent naming and barcodes.
  • Create customer profiles for regular credit buyers before peak hours.
  • Set up tax profiles once in Settings rather than calculating manually.
  • Train cashiers on search and barcode flow to reduce queue time.
  • Review daily sales on Overview to spot discount abuse or unusual voids.
